Bill a patient and record payment
Make an invoice from the patient's Billing tab, send a payment request, and record what was paid.
Useful for Secretary Doctor Clinic admin
- Open the patient, go to the Billing tab, and choose New invoice.
- Under What was done, pick a test or package from the price list, or type a line (consultation, medical certificate, procedure and so on) with its amount. Add a line puts several items on one invoice; the Total updates as you go.
- Choose who is Billed to: The patient, A company or An HMO. For a company or HMO, add the Approval / LOA reference if you have one.
- Choose who is Paid to: the doctor, or the clinic where it is set up as a payee on Clinic Pro. It decides whose payment details the patient sees. For a Senior Citizen or a person with disability, pick the 20% discount under Senior / PWD discount: it takes 20% off and removes VAT.
- Choose Create invoice. It appears on the Billing tab with what is billed, collected and still owed.
- To collect online, choose Email payment request, or Copy payment link to send it by Messenger to a patient with no email. When the patient pays by GCash and sends proof, See proof, then Verify it so it counts (or Reject it: the patient is told what to correct).
- For cash, GCash shown at the desk, a bank transfer or anything else, choose Record payment and enter the Amount received, how it was paid and the Reference number.
- Once something is paid, Download receipt. An invoice made by mistake can be cancelled with Void (it asks for a reason).
Common questions
There is no Billing tab on the chart.
Your plan does not include patient billing: Duo and Clinic Pro have it; on Solo it is an add-on. A clinic admin can also hide it for a role in Clinic Settings › Role access.
The payment request buttons are greyed out.
The payee has not finished setting up: GCash needs both a number and a QR, and PayMongo needs its keys. Hover the button to see what is missing.
I made an invoice by mistake.
Choose Void on it and give a reason, then make the correct one. Void only works while no payment is recorded on the invoice.
